# How to add, change and remove users

## A user with administrator permissions can add users, change their access level and remove them. The new user becomes active only after accepting the invitation.

- Add a user through **Settings → Users → Invite new user** and enter the name, email address and role.
- The invited person needs to open the invitation and activate their user before it works.
- **Plans & billing** is shown only to users with the **admin** role. If the option is missing from your settings, that is the explanation.
- The email address is the unique identifier per user and cannot be changed afterwards. To switch an address, invite the new one and remove the old one once the new is activated.

### Adding a user

1. Log in at https://app.qvalia.com
2. Click the **Settings** cog in the top right corner.
3. Go to **Users → Invite new user** (Swedish: Inställningar → Användare → Lägg till ny användare).
4. Enter the name, email address and role.
5. Ask the person to open the invitation in their mailbox and complete it. The user is active only after that step.

### Roles

The following permission levels can be selected when a user is invited:

| Permission | What the user can do |
| --- | --- |
| **No access** | Cannot view or edit information. |
| **View only** | Can view but not create or edit information. |
| **Standard** | Can create and edit information. |
| **Admin** | Can manage users and permissions. |

If a colleague sees a settings menu without **Plans & billing**, that person is most likely not an administrator. The interface does not explain why the option is absent. Ask an administrator on the account either to carry out the plan change or to grant the person admin access.

### Removing a user

Remove the user under **Settings → Users**. If one person is being replaced by another address, make sure the new user is **activated** before the old one is removed, so the account is never left without a working login.

At the same time, confirm that at least one remaining user holds the admin role.

### When the invitation does not arrive

1. Ask the recipient to search their spam folder, check approved-sender rules, and allow the sender domain qvalia.com.
2. Confirm that the address in the invitation is spelled correctly.
3. If the address has been blocked so that the invitation cannot be delivered, a different email address must be used. Qvalia cannot remove the block.
4. If the problem persists, contact support and state the exact address: it is the key used in the investigation.

Plus addressing, such as `name+qvalia@company.com`, is supported. The inviter can enter any valid email address. If single sign-on (SSO) is configured, the SSO settings determine which users or addresses can be invited.

### The user is logged in but sees an error or an empty view

The standard step for interface errors after login is to clear the browser cache and log in again. If the error persists, contact support with the user's email address, the view concerned, and when the error started.

Missing notifications relate to the notification settings rather than to the user's role. Check that the settings are actually saved as intended.

### Can I change the email address I log in with?

The address on an existing user cannot be changed in Qvalia. The way forward is to add the new address as a user and remove the old one.

#### What to do

1. Log in at https://app.qvalia.com with your current address.
2. Go to **Settings → Users → Invite new user** (Swedish: Inställningar → Användare → Lägg till ny användare).
3. Enter the name, the new email address and the role.
4. Open the invitation in the new mailbox and activate the user by completing the invitation and setting a password.
5. Once the new user is activated, return to **Settings → Users** and remove the old user.

Hold off on step 5 until the new user is genuinely activated. Removing the old one before that risks leaving you without a working login on the account.

#### Why the address cannot be changed

The email address acts as the unique identifier in the platform and is the key that both settings and passwords are derived from. Changing the address on an existing user would therefore not be a rename but a change of identity. Creating a new user and removing the old one is the available route.

If you are planning the change around someone leaving the company, make it while the old mailbox can still be read. Once the mailbox is closed, neither the invitation nor a password reset can be received, and the case becomes considerably heavier.

The company's history belongs to the company account and remains available when the old user is removed. The new user can see the history according to their permission level. Notification settings are personal and must be configured again. The person sending the invitation can assign the **Admin** permission to the new user immediately.

### If it still does not work

- **Check one last time:** that the user has activated their invitation, that the address is spelled correctly, and that at least one user on the account holds the admin role.
- **Have this ready when you contact support:** the organization number, the email address of the user concerned, the role that is set, what was meant to happen and what happened instead.
