How to use the Transaction log

The Transaction log gives a searchable history of all business messages processed via Qvalia and is designed for users and administrators who need control, traceability, and error analysis at scale.

The Transaction log provides a detailed, searchable history of all business messages processed via Qvalia for your organisation. It is intended for users and administrators who need control, traceability and error analysis for larger volumes.

Accessing the Transaction log

  1. Go to Organization logs in the upper right-hand menu.

  2. Select Transaction log.

Time range

At the top of the page you define the time window for the list:

  • Start date

  • Start time

  • End date

  • End time

Only messages with activity in this period are shown. This is the primary way to limit the result set before you add more filters.

Controls

In the top-right corner next to the period settings, you have:

  • Export – exports the current result list to CSV.

  • Filters – opens the advanced filter panel.

  • Apply – refreshes the list using the current time range and filter settings.

Table columns

The Transaction log table is wide; you can scroll horizontally to see all columns. Depending on your resolution, you will see different groups of columns at a time. Error rows will be highlighted.

Counterparty and direction

  • Sending party name – name of the sender of the business message.

  • Sending party ID – identifier for the sender, typically a Peppol ID or company registration number.

  • Receiving party name – name of the receiver of the business message.

  • Receiving party ID – identifier for the receiver.

  • Direction – Incoming (to your organisation) or Outgoing (from your organisation).

Document details

  • Document type – type of business document, such as Invoice, Credit note, Order, Order response, Order response advanced.

  • Document ID – the supplier’s or buyer’s own document reference, for example invoice number or order number.

  • Document date – the date on the document itself, for example invoice date.

Processing and status

  • Status – current processing status, for example Processed or Error.

  • Timestamp – the time when the transaction was processed in Qvalia.

  • Status update – the latest status change timestamp.

Routing and format

  • Source – how the message entered Qvalia, for example Qvalia Portal, Peppol, API, SFTP.

  • Delivery method – how Qvalia attempted to deliver the message, for example Peppol, Email, SFTP.

  • Source format – original message format, such as PDF, UBL, UBL JSON, Peppol BIS 3.0.

  • Transformation – indicates if the message has been transformed between formats (for example PDF to UBL BIS).

Technical identifiers

  • Internal transaction ID – unique identifier used by Qvalia for the message instance.

  • Filename – original filename, typically relevant for SFTP and file-based integrations.

  • Correlation ID – identifier used to group or correlate related messages or processing steps.

Metadata and actions

  • Metadata – a link or value that opens the metadata modal for the transaction. This is where you find technical details and error information.

  • Action – resend message (SFTP only).

Working with the list

  • Verify that a specific invoice, order or credit note has been processed and delivered.

  • Review all messages for a specific customer or supplier during a period.

  • Identify messages with errors and open their metadata for troubleshooting.

  • Export a filtered list of messages to reconcile with your ERP or for audit purposes.
